Enhanced Document Scanning
Once your boxes of documents are prepared for send-off, they’re taken to our scanning department to be fed through our high-quality commercial scanners. From there, Turn Source’s document scanning team tests the settings specified for your project; our technology can detect double-sided pages, their variance in size, and will automatically crop and create high-quality images. Our team will specify the image-resolution, color-settings, and barcode separation of your preference—we can provide our customers a sample box after the initial test to ensure our customers will be happy with the quality of the finished product.
Indexing and Data Capture Service
The key component of the scanning process is indexing your digital files, as that’ll be your way of searching for and locating them. We index single names to files and/or extract various fields of information from an image to create layers of folders to organize the files in. When in combination files are properly indexed, the documents make it easy for them to be searched and accessible through a computer or other devices they are stored on.

Although we currently scan over 40 – 60 boxes of documents per day (or 100,000 – 150,000 pages), there are lots of variables that can influence these figures. Some of these variables include questions like:

Why should my company need to scan its documents?
Your company should scan its paper documents and go paperless to increase the speed at which your employees (or you) are able to obtain any file from your storage. How secure are my documents/information?
Turn Source Imaging takes great efforts to ensure all documents and information in them are protected both cyber-wise and physically. Our facility is equipped with security cameras, motion sensors, and firewalls that help us monitor how our employees handle clients’ documents. Furthermore, we built sufficient security into many of our processes, such as inventory tracking and quotas, when employees complete projects. In addition, every project we take goes through a strict chain of custody. To conclude, we comply with the privacy laws of HIPPA (Health Insurance Portability and Accountability Act) and ITAR (International Traffic in Arms Regulations).
Will the scanned documents produce great picture quality?
Yes, they will! We scan documents in resolutions ranging from 200DPI to 1200DPI – depending on certain factors such as the file size and picture quality. You can always request a sample when we commence scanning.
What if I need a document during scanning?
Providing you with a document, whether already scanned or not, is seamless to us. Due to our inventory tracking system, we can easily scan or search for the document and have it emailed through our company’s file share to you – even when we have projects in the queue.
How do you calculate the number of paper documents I have?

How should I name my files/how will I locate my files?
The name of the files or how you can easily locate them after they are scanned and indexed will be explained to you before or upon the scanning commencement. It is a simple process which any individual should know or learn within minutes.
What file format will the documents be saved as?
Newly-scanned documents are either converted to PDF or TIF file formats. However, we can also convert the images or texts to other formats, such as Word using OCR (Optical Character Recognition), which is able to read and extract texts from any image. Meanwhile, the most common format is the PDF, which makes the documents easily searchable by their keywords.
What happens to my paper documents when the scanning is completed?
This depends on what you want us to do with them. You may choose to have them returned to you or shredded/destroyed for a very cheap fee.
Do you charge for shredding of scanned documents?
Yes, like the other services we offer, we also charge for shredding your scanned documents at your request. Shredding, when compared to scanning, is relatively cheap.
Do you also scan documents to retain their colors?

Do you also scan large documents such as maps?
Yes, we do! We scan all types of paper documents and images, including handwritten and typed documents. We have special scanning machines for large documents, such as maps, journals, and magazines.
Our documents have a restriction. Can you scan them at our office?
Yes, we offer on-site services. This service is customized and requires special charges due to the extra labor and time. You can Contact Us to discuss more about this. We will respond as soon as reasonably possible to discuss the process, including how to inspect the office location.
What if the storage device gets damaged?
We recommend that you retain extra copies of the scanned documents on an external drive aside from your server or cloud storage platform. Notwithstanding, files can be recovered from a damaged device.
